Job Description
5 days per week (Saturdays and Sundays mandatory) 7-8 hours per day
The Receptionist / Administrative Assistant will carry out a variety of duties important to the success of the sales team. S/he should present as a friendly and enthusiastic initial point-of-contact for all visitors to the sales gallery, monitor and maintain appointments, provide information to walk-in visitors/guests, track inventory of supplies and maintain general office operations.
Responsibilities
- Open and close the sales gallery and model homes, ensuring all spaces are “ready” for visitor traffic and maintaining all common areas.
- Greet and welcome visitors in a warm friendly manner; direct scheduled and walk-in appointments, answer, and redirect phone calls; manage mail and shipments.
- Oversee office equipment and supplies (i.e., printer, ink, toner, copy paper, beverages, etc.), and report any deficiencies and/or malfunctions to the operations team.
- Prepare conference rooms for meetings and organize catering, as requested.
- Maintain calendar, coordinate schedules, prioritize meeting requests and logistics.
- Maintain record-keeping (i.e., walk-in traffic, sales appointments, buyer visits, deliveries, etc.) in sales CRM program.
- Provide ad hoc support to team members as needed.
