Job Description

We are seeking a dedicated and detail-oriented Office Manager to oversee the daily operations of our office. The ideal candidate will be responsible for ensuring that the office runs smoothly and efficiently, providing support to staff, and managing various administrative tasks. This role requires strong organizational skills, effective communication, and the ability to manage multiple priorities in a fast-paced environment.

 

Responsibilities

  • Lead team of administrative support.
  • Maintain organized filing systems for both physical and digital documents.
  • Supervise administrative staff, providing guidance and support in their daily tasks.
  • Develop training programs for new hires and ongoing employee development initiatives.
  • Handle clerical duties such as data entry, correspondence, and maintaining office supplies inventory.
  • Assess urgency of situations and determine appropriate actions.
  • Prepare legal correspondence.
  • Maintain legal management systems.
  • Train attorneys and new staff on all office systems.
  • Create/Update policies and procedures; ensure compliance.
  • Work with IT staff to ensure equipment in working order; knowledge of light IT support.
  • Monthly billing to clients.
  • Assist with human resources functions including on boarding processes and employee records management as well as provide input for annual assessments.

Skills

  • Exceptional organizational skills with a keen attention to detail.
  • Proficient in calendar management and scheduling software.
  • Strong understanding of office procedures and best practices.
  • Proven team management capabilities with a focus on fostering a collaborative environment.
  • Knowledge of training development techniques to enhance employee performance.
  • Competent in clerical tasks with proficiency in Microsoft Office Suite.
  • Manage telephone system.
  • Knowledge of computer software and hardware troubleshooting.
  • Familiarity with human resources processes is a plus.
  • Knowledge of IT support a plus.
  • Knowledge of Legal Office a plus.
